Work With Grace — Terms & Conditions

Applies to all in-person retreats, online retreats, workshops, courses, and programs offered by Grace Bell / Work With Grace.

Refund & Cancellation Policy

Administrative Fees

All Work With Grace programs include a non-refundable administrative fee. This fee is retained regardless of cancellation timing.

In-person retreats, Eating Peace Experience, and Year of Inquiry: $150
Short courses, mini retreats, Summer Camp, and 8-week programs: $50

In-Person Retreats

Cancel 30 or more days before the retreat start date: full refund minus the $150 admin fee.
Cancel 14–29 days before the retreat start date: no refund, but your payment may be transferred to a future retreat or program within 6 months.
Cancel fewer than 14 days before the retreat start date: no refund or transfer.
No refunds will be issued after a retreat has begun or after attendance, regardless of partial attendance or early departure.

Online Retreats, Courses & Short Programs

Cancel before the first live session or before access to course materials is provided: full refund minus the applicable admin fee.
Cancel after the first live session or after course materials have been accessed: no refund.
For payment plans: cancellation does not release remaining payment obligations. You may complete the program or not, but the financial commitment stands once the program has begun.

Year of Inquiry (10-Month and 6-Month Programs)

Year of Inquiry requires a commitment to the full program length. A cancellation window is provided so participants can ensure the program is the right fit.

Full-year participants (September start, 10 months): You may cancel within the first 3 months. After 3 months, you are committed for the remainder of the program.
Half-year participants (January start, 6 months): You may cancel within the first month. After the first month, you are committed for the remainder of the program.
If you cancel within the allowed window, no refund will be issued for months already completed. Months of participation are charged at the standard monthly rate of $297/month, regardless of any discount received for paying in full.
If you paid in full and cancel within the allowed window, your refund will equal the total amount paid minus the $150 admin fee and minus $297 for each month of participation.
If you are on a monthly payment plan and cancel within the allowed window, future payments will cease but no refund will be issued for payments already made.
After the cancellation window closes, no refunds or cancellations will be issued. Monthly payment plan participants remain responsible for all remaining payments through the end of the program.

All Programs

Refund requests must be made in writing to grace@workwithgrace.com.
Transferring your spot to another person may be possible on a case-by-case basis with advance written approval.
In the event of extreme personal circumstances (hospitalization, family emergency, etc.), please contact us. We will do our best to work with you, though no specific outcome is guaranteed.

Solo Sessions (One-on-One)

Payment for solo sessions is due on the day of the session, unless pre-paid. There are no refunds for solo sessions, but rescheduling is always welcome. If you need to cancel, please do so at least 24 hours in advance by text or email; cancellations made less than 24 hours before your session are non-refundable. In the event of severe or unexpected circumstances, please reach out to Grace directly and we will do our best to work with you.

Please note: Work With Grace does not accept or bill insurance of any kind. Grace is a Certified Counselor in Washington State and can provide a receipt for services rendered, which you may submit to your insurance provider for possible reimbursement.

Right to Decline or Remove a Participant

Work With Grace reserves the right to decline any registration or remove any participant from a retreat, course, or program at any time, at our sole discretion, if we determine that:

The individual's behavior disrupts the experience, safety, or well-being of other participants or the facilitator.
The individual's participation is not a good fit for the program format, group dynamic, or level of readiness required.
The individual has previously been asked to modify their behavior in a Work With Grace program and the pattern has continued.

If a participant is removed during a program due to disruptive behavior, no refund will be issued.

If Work With Grace declines a registration before a program begins, a full refund will be issued promptly.

Participant Conduct & Shared Responsibility

By registering, you agree to:

Treat all participants, the facilitator, and any guest teachers with respect and care.
Honor the confidentiality of anything shared by others during the program.
Take full responsibility for your own emotional well-being, choices, and insights during and after the program.
Communicate directly with Grace if you are struggling or need support during a retreat or program, rather than directing frustration at other participants.

This is a space for honest inquiry, which includes strong emotions, disagreement, and discomfort. All of that is welcome. What is not acceptable is behavior that targets, intimidates, mocks, or disrupts other participants' ability to do their own work.

Educational Purpose

All Work With Grace programs are designed for personal insight, growth, and emotional well-being. They are not a substitute for medical, psychological, or psychiatric treatment. Please consult your health care provider if you have specific clinical concerns.

Use of Materials

All retreat and program content, exercises, handouts, recordings, and materials are the intellectual property of Grace Bell (or used with permission) and may not be recorded, duplicated, or distributed without written permission.

Modifications

We reserve the right to adjust program details, schedule, or format due to unforeseen circumstances. Changes will be communicated as soon as possible.

Agreement

By registering for any Work With Grace program, you confirm that you have read, understood, and agree to these terms and conditions.
